Summary:  

Accountable for contributing to and executing the global congress strategy and driving strategic alignment and operational execution of congresses with a focus on Medical Affairs assets.  

Provide strategic leadership and oversight of the planning and execution of global medical congresses, including project management, to support approved products and the development pipeline. 

Responsibilities:  

  • Lead cross-functional planning teams such as the congress task force, providing strategic guidance/recommendations to ensure congress elements and internal meeting planning are in alignment with medical affairs, commercial and corporate goals; achieve consensus among cross-functional team members regarding strategy/content and develop timelines, monitor status, and provide clear and comprehensive communications  Serve as the medical point of contact and oversee exhibit agency for the execution of the booth design/flow, structure, messaging hierarchy, visual/interactive elements, distribution materials, and on-site exhibit operations in close partnership with commercial congress planner for assigned programs  Contribute meaningfully to the annual medical congress plan, including a 3-year forecast in collaboration with global Medical Affairs colleagues  Adhere to project-level budgets, identifying and taking advantage of cost efficiencies where appropriate  Collaborate on relevant vendor selection, management, and ongoing analysis of performance to ensure that the event is delivered within budget and defined metrics and evaluate return on investment  Maintain records of congress planning activities, including contracts, sponsorships, objectives, approvals, pre-congress, and post-congress notes to ensure a highly impactful congress presence   Execute and coordinate internal legal, regulatory, and medical review of content and materials and ensure appropriate internal communications pre- and post- congress  Monitor and research industry trends and technologies, making appropriate recommendations to advance congress strategy objectives 

Qualifications:  

  • 4+ years congress and/or event management experience, with some experience required within the biotech industry and oncology therapeutic area  BA/BS required; life sciences background preferred  Budget and project management experience required, PMP considered a plus  Excellent written and verbal interpersonal skills, providing highly effective communications to internal and external stakeholders  Highly motivated self-starter with ability to perform within a fast-paced, dynamic environment, well organized with great attention to detail  Demonstrated ability to influence change across diverse teams both as an individual contributor and a collaborative leader  Manage complex projects simultaneously; proactively approach operational issues and recommend creative problem-solving solutions  Proven track record of delivering results  Strong cross functional experience and ability to collaborate across functions and levels  Ability to present at executive level  Ability to work both independently and collaboratively, often cross-functionally  Prior experience managing third-party agency working relationships  Strong proficiency in Microsoft Office products (including Teams and SharePoint), experience with Adobe Creative Suite and Smartsheet preferred  Ability to travel domestically up to 10%
